Om jobbet (About the Role): Gothenburg International School (GIS) is seeking an organized, welcoming, and proactive School Administrator to join our team in Mölndal. As the first point of contact for families, visitors, and staff, you will serve as the heart of our administrative operations. This position requires strong organizational skills, excellent communication in both English and Swedish, and the ability to multitask in a vibrant international environment. Dina arbetsuppgifter (Your Responsibilities): Reception & Front Desk: Welcome visitors, answer main telephone lines, handle general email inquiries, and maintain a warm, professional environment. Admissions & Student Records: Assist the admissions team with student enrollment, maintain accurate student registers, and manage attendance records. School Operations & Logistics: Support the Principal and teaching staff with daily administrative tasks, scheduling, ordering school/office supplies, and coordinating school events. Official Communication: Draft newsletters, notices, and internal announcements; assist with administrative reporting for municipal authorities when required. Vendor & Facilities Coordination: Act as a liaison for facility maintenance, catering services, transport logistics, and external suppliers. Kvalifikationer (Qualifications & Requirements): Education & Experience: High school diploma required; secondary education in business administration, office management, or a related field is preferred. Previous experience in a school or educational administration role is a strong asset. Language Proficiency: Fluent in spoken and written English (daily working environment). Fluent in spoken and written Swedish (essential for municipal contact, Swedish phone calls, and local vendor management). Technical Skills: Proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams) and experience working with school management software/databases. Personal Qualities: Exceptional interpersonal skills, strong problem-solving abilities, high attention to detail, and a patient, welcoming demeanor with children and parents. Background Check: A valid extract from the Swedish criminal record registry (Belastningsregister för skola/förskola) is mandatory before starting. Description/Purpose To support excellent education for primary school students from early years through grade 5. Working hours 40 hours per week, excluding half an hour lunch break. Duties/Responsibilities Classroom Responsibilities (8.30-15.30) Provide instructional support for the classroom teacher. Encourage student engagement and participation. Offer help and individual attention to students who need support. Lead small group discussions and/or activities. Give feedback to the classroom teacher regarding students' learning. Assist in keeping the general class organized. Be an active and contributing member of the School Faculty. Actively contribute to the operational needs of the school. To undertake duties as required, including before-school and end-of-day duties, break duties, lunch support, and additional support in other year groups as required. Helping the play leaders with their duties, as required. Ensuring students exit the building calmly and quietly. Ensuring students return to class promptly. Traffic Duties Monitoring traffic flow and keeping the crossing paths clear of parked vehicles. Ensuring students exit the building calmly and aid them in crossing the road safely.
